Everything you need to know about renting on Rubbl.

Signing up

  • To begin a rental checkout, you will need to create an account
  • We run all renters through the approval process when an order is placed to keep our equipment, owners, and renters safe. 
  • Expect account verification to take less than 24 hours. We will notify you once you are approved.
  • Check your approval status on your account page. 
  • If there are any issues during the verification process, we may ask for more information.
  • After you get approved to rent, you’re ready to find the equipment for your job.
  • Not approved yet? No problem, orders can still be placed prior to account verification.

Choosing equipment

  • Just like Amazon, you may add multiple machines to your cart from any number of owners and locations in a single order.
  • Enter your location and search for a machine. You may search by make, model or equipment category (e.g. caterpillar, D6T, dozers). You cannot reserve a machine more than two weeks in advance. 
  • You can filter by a number of items, including equipment type, attachment configuration, hours, year, and weight. 
  • Once you find your machine, click Add to Cart, select attachments, specify estimated job start date and minimum duration, and you’re ready to place your order. To view more detailed information about the equipment, such as dimensions and capacities, click View Details.
  • Note, you will be able to modify rental dates and transportation information later during the checkout process.

Rubbl badges 

“Top Owner”

  • Top Owners are top-performing, high-quality equipment owners that have a wide selection of machines and services.
  • They expedite order processing by providing transportation and professional maintenance and repair services during the rental.

“RPO Available”

  • RPO Available indicates an option to the purchase the machine within the first 6 months of the rental. This is a great way to purchase a machine at a discounted price. To view purchase option scenarios, click the badge for more rate details. 

Placing an order

Once your machines have been added to your cart, click Checkout to review your order. Here, you can add transportation details and review the rental terms. During checkout, you'll see:

Rental dates

  • Review and adjust your rental start date and the estimated duration.
  • Your rental start date must not be more than 2 weeks out.

Transportation

  • Enter the location where you will receive your equipment. If you do not have an address, you may use the map to set location by longitude and latitude.
  • You will receive a transportation estimate for each machine within 30 minutes of order confirmation. A formal quote will be sent within 24 hours.
  • If the estimate or quote is unsatisfactory you may cancel the order free of charge.
  • You will receive email and text message notifications throughout the delivery of each machine.
  • Transportation charges will appear on your first billing statement.

Credit check

Credit approvals are required to ensure a safe and secure rental experience. The credit approval process does not impact your or your company's credit score and is conducted only once a year. You will only be contacted if there is an issue.

Payment methods

We require an ACH or credit card to be set up within 72 hours of order confirmation.

Billing frequency

  • You will be automatically charged every 28 days after the first machine in your order has been delivered.
  • You can view your billing statements from your account.

Minimum rental period

The minimum rental term is 1 week.

Cancellation policy 

Cancellations must be made at least 24 hours after receiving your transportation quote.

During your rental

Usage limit and excessive wear

  • Equipment can be utilized up to 45 hours per week and no more than 180 hours per month. Hourly overage charges will be calculated on a pro-rata basis. 
  • You will be charged for excessive wear to ground engagement tools (GET), such as cutting edges, bucket teeth, hammer bits, and moldboard edges.
  • You will be charged for excessive wear to tire tread and undercarriage. Excessive wear occurs commonly when:
    • operating in heavy rock, abrasive material, sand, asphalt
    • overspinning
    • overloading or sideloading
    • damage presents as cuts, punctures, or chunks in tire

Insurance

  • A commercial liability insurance policy is required. A valid certificate of insurance (COI) will be submitted during account setup and will be kept on file.
  • COI submissions should be submitted to support@rubbl.com.

Rental confirmation

  • Please allow 2-4 hours for equipment owner to confirm availability.
  • You will receive an email and text notification once your order is confirmed and in progress.
  • In the unlikely event that the rental equipment is not available, we will notify you immediately and find a suitable replacement.

Receiving your equipment

  • You will receive several email and text notifications during the transport of your equipment.
  • A designated site contact must be accessible via phone to the transportation provider during the transport of your equipment.
  • The site contact must be at the dropoff location to receive the equipment from the transportation provider.
  • Once your equipment has arrived, the site contact must perform the requested checkin inspection to verify the condition of the equipment. This is a critical step to protect you in the event of excessive wear and damage claims.
  • In the unlikely event that the equipment seems unsafe, is extremely dirty, or damaged you will be contacted by an equipment manager immediately.

Operating your equipment

  • Ensure operators conduct a daily walk-around inspection.

  • Clean radiators and air filters daily as defined by the operation manual.
  • Grease the applicable areas and attachments as defined by the operation manual.
  • Maintain the following fluid levels as defined by the operation manual
    • Hydraulic. Note it may be necessary to operate the equipment.
    • Engine oil
    • Coolant
    • Diesel Exhaust Fluid (DEF)
    • Transmission oil
    • Differential and transfer case oil
  • At all times during operation, machine should be monitored for error codes. In the event that an error code is present, do not operate the equipment and contact Rubbl immediately.
  • You will be responsible for any damage sustained to equipment that can be attributed to non-conformance of these daily actions.
  • Damage or accidents should be reported within 24 hours. If the equipment is unsafe do not operate and contact Rubbl immediately.

Returning your equipment

  • You start the return process by calling your equipment off rent. You may do this in 2 ways:
    • Locate your rental in your online account and select Start Return.
    • Contact Rubbl directly by phone.
  • Before your equipment can be picked up, you will need to complete an inspection to verify the condition, including any damage or excessive wear. You will receive email and text notifications with a link for you to perform this inspection. In the event of a damage dispute, you will need this inspection as proof.
  • Rubbl will review the inspection immediately and contact you if there are any issues to be discussed. 
  • You are responsible for cleaning and restoring fluid levels prior to pickup. Additional charges will be applied if the equipment is not returned in the condition it was received. Here is a common list of items that should be addressed:

    • Cab, undercarriage, tires/tracks must be must be clean.

    • All fluid levels, including fuel, hydraulic, and diesel exhaust fluid (DEF), must be returned at their full level.
    • Air filters and radiators should be cleaned and blown out as performed during the daily operator walk-around inspection.
    • Ground engaging tools, such as cutting edges, bucket teeth, hammer bits must be reviewed and replaced if excessive wear or breakage has occurred.
    • Grease the applicable areas and attachments as defined by the operation manual.
    • Auxiliary hydraulic lines for attachments, such as hammers and thumbs, must be bled to relieve pressure.
  • A designated site contact must be accessible via phone to the transportation provider during the transport of your equipment.
  • The site contact must be at the pickup location to transfer the equipment to the transportation provider.


After your rental

The final steps of the return process will occur once the equipment has been returned to the owner.

  • The owner will perform a final inspection to verify equipment condition and that all fluid levels have been restored to pre-rental levels.
  • If any issues are discovered, we will contact you immediately.
